UHMS Regional Chapter Charter
This Regional Chapter Council Charter will replace the Regional Chapter Manual. The purpose of the UHMS Regional Chapter is to plan and execute an annual live-streamed meeting in coordination with the UHMS leadership.

UHMS Regional Chapter Council Structure

Regional Chapter Council shall be aligned with UHMS national goals and standards. See the UHMS VVM: https://www.uhms.org/constitution-and-by-laws.html.

Leadership:
The leadership of the Regional Chapter, the UHMS Regional Chapter Council, is responsible for liaising with UHMS members in the respective regions to plan and execute the annual virtual town hall.

There will be a Call for Nominations for a Chair-Elect and six Advisory members every two years. The Call for Nominations runs specific with each Regional Chapter Meeting using the designated timelines below. The Call for Nominations opens 90 days before the Regional Chapter Meeting and closes after 30 days. Nominees will be contacted the following two weeks to accept, and voting begins 30 days prior to each Regional Chapter Town Hall. Those being nominated must be active UHMS members and be living in the region of the Chapter they will be representing.  See the Regional Chapter map: https://www.uhms.org/images/chapters/us_chapter_map.pdf.

The newly elected Council Members will be announced and take their seats on the Council at the end of the Regional Chapter Town Hall of that year.

The UHMS Regional Chapter Council shall consist of:

1.    Chair: 

  • Serves as chief liaison to national UHMS leadership 
  • Serves as liaison on the ASM Abstract Review Committee
  • Oversees planning of the virtual Regional Chapter Town Hall, to include keeping the meeting on time and monitoring the chat.
  • Appointed for a two-year term. (in total a 6-yr commitment)
  • Can be re-elected after two years off the Council

2.     Co-Chair:

  • Responsible for organizing the virtual Regional Chapter Town Hall, including keeping the meeting on time and monitoring the chat.
  • Appointed for a two-year term. (in total a 6-yr commitment)
  • Rotate to the Chair role after the two-year term.
  • Maintains regular communications with regional members via the UHMS leadership regarding news/meetings.

3.     Co-Chair-Elect: 

 

  • Responsible for helping the Co-Chair to organizing the virtual Regional Chapter Town Hall, to include keeping the meeting on time and monitoring the chat.
  • Appointed for a two-year term. (in total a 6-yr commitment)
  • Rotate to the Co-Chair role after the two-year term.
  • Maintains regular communications with regional members via the UHMS leadership regarding news/meetings.

4.    Regional Advisory Members 

  • Experienced members to provide strategic input and historical perspective for virtual Regional Chapter Town Hall.
  • A limit of six advisory members; three (3) of which to be elected every two (2) years on a rotation basis. (in total a 2-year term)
  • Up-and-coming members are encouraged to have mentorship from the seasoned council members.

In a case where a Regional Chapter Council Member is unable to continue in their respective role, the runner-up in the election will be asked to participate. If they do not accept and there are no other options, the UHMS President will appoint the replacement for the remainder of the term. For Advisory Members, the same process applies.


Regional Chapter Town Halls
Policies:

  • The Council shall meet monthly via virtual platform to plan meetings and to ensure regional activities remain aligned with UHMS national goals and standards.
  • Limit Regional Chapter Town Hall time to 4 hours (strict), including a 10-minute break. These events are to be hosted on a Saturday, starting at noon ET. Question time should be designated after each lecture, rather than at the end of the program or as a panel discussion. (i.e., 15 min. lecture (10-minute presentation and 5 minutes for Q/A)
  • Abstracts not chosen for presentation from the UHMS Annual Scientific Meeting will be provided to Regional Chapter Council Members to potentially pull new content for lectures.
  • Finalize the meeting schedule at least three months before the meeting date but recommend scheduling it six months or more in advance. This allows the home office to submit for CME/CEU credit, advertise the meeting, and promote registration.
  • No honorariums for faculty of the virtual Regional Chapter Town Halls.
  • The Chair receives waived registration to the Regional Chapter Town Hall. All other Regional Chapter Council members are responsible for any registration fees.
